01 // Project Overview

Understanding the Landscape

To design a system that truly improves hiring efficiency, we began by studying existing tools and workflows:

Competitor Audit: We conducted a visual and functional analysis of key players like Meetfrank, Freshteam, Manatal, and Workable. This helped us identify common patterns, UX pitfalls, and opportunities to differentiate.

Scheduling Flows: We dissected how platforms like SmartRecruiters, Zoho, Noviopus, and Bullhorn handled scheduling demo calls and interview coordination—critical touchpoints that influence recruiter experience.

User Personas

We have two types of user:

  1. Recruiters from Companies (who create account and pay to post job at freeC)
  2. freeC Customer Success Executive members (who support companies directly)

Getting Aligned

We organized collaborative whiteboard sessions with product managers and designers to identify pain points and map out high-level goals. The discussions revealed a central need: creating a candidate pipeline view that mirrors recruiters’ mental models, while simplifying movement and decision-making.

From this:

  1. We created lean and full journey maps to visualize every step from job creation to final hire.

  2. Developed user flows, iterating from rough sketches to a refined structure focusing on clarity and flexibility.

Designing the Core: The Candidate Pipeline

At the heart of the ATS is the Candidate Pipeline — a kanban-style interface where recruiters can move applicants through various stages like Applied, Interviewed, Shortlisted, and Hired.

We ensured:

  1. Drag-and-drop interactions to move candidates intuitively

  2. Status indicators and tags for visibility

  3. Bulk actions for recruiter efficiency

The result was a layout that felt familiar yet robust, designed for scale and clarity.

The redesigned ATS didn’t just streamline hiring workflows—it became a foundation for freeC’s HR tech ecosystem. By bridging gaps between teams, automating repetitive tasks, and simplifying complex journeys, we helped recruiters focus on what really matters: finding the right talent.
